Integration with Hectre


Crystal Payroll can easily integrate with Hectre. Setting up the integration can take a few steps, but once the set up is ready, it is smooth-sailing from there!

Jump into "Company Settings", and then "Import / Export". Under "Data Import Settings", select "Hectre", "Hectre with Task" if you are using "Job Type"(s), or "Hectre with Task & Dept" if you are using both "Department"(s) and "Job Type"(s). Select "Save".

Head to "Company Settings", "Payroll Settings". Open "Advanced Settings", and check the "Job Pay Rate" box under "Timesheet Input Format & Preference". If you are using "Hectre with Task" or "Hectre with Task & Dept", also enable "Job Type" and "Department" too if you are using the latter option.

Under "Other Settings" down the bottom of the page, also enable "Auto Top Up To Meet the Minimum Wage". You can disable this after the final step if you would prefer to use Hectre's top-up system, but it is crucial to be enabled for setting up employees. Select "Save."

Navigate to "Employee Settings", "Employee Details", select a piece-rate worker from the left-hand side, and select "Wage / Salary" under "Other Details". Set each employees' hourly rate to "0". Select "Save".

Select "Job Pay Rate" under "Other Details". Select "Add" and enter "Normal Working Hours". Set the "Pay Rate" to "0", and then select "Save".

Navigate to "Process a Pay", "Time & Income", and select "Other Income". Open "Setup Income Items", and then select "more…".

This menu is where you set up your piece-rate items from Hectre to match with Crystal Payroll, such as your "PAIDBREAK" code. Select "Add", and then enter the item’s name in the "Description" field. Make sure the name is the full name used by Hectre. For example, you would not only enter "PIECEWORK" unless that really is the name of your code, but "PIECEWORK - South Branch". Select "Save". Once you are finished adding each code, close all menus so that you are back at the "Time & Income" page.

Navigate to "Process a Pay", "Leave Pay Rate". Select a piece-rate worker from the left-hand side. Enter the "Default Hourly Rate" on the right-hand side of the page, as either the minimum wage, the minimum RSE workers' rate, or the employees' contract rate. Select "Save" to the right of the field. Ensure "Use Average Daily Pay to calculate a pay" on the left-hand side is enabled, as well as "Use Default Hourly Rate for Annual Leave Pay" on the right-hand side.

Your employees are now set up to use piece rates. If you want to import the data from Hectre, you can select "Data Import" on the right-hand side of the "Time & Income" page, select your file, and upload it into Crystal Payroll.
